Good governance is foundationally critical to managing a charity according to the Commissioner of Charities, Mr Desmond Chin (Commissioner of Charities Annual Report 2022). Elevating donor experience is more than just good designs and great technologies; it is about building trust and confidence with the donors and major stakeholders. Creating a transparent system with checks and balances, allowing users to retrieve and confirm donation records for tax deductibility submission error free is paramount to achieving good governance in any charities. Donations can come from different sources; website, microsites, third-party fundraising platforms, via post using Business Reply Service (BRS) and walk-ins just to name a few. These different sources have different data entry points yet requiring the same rigourousness in managing data integrity and accuracy. The Donor Experience Journey

The solution to these challenges is to automate the mundane tasks that take up much effort from the users to ease the workload. There are many steps in the donor experience journey where automation improves experience while having straight through processing reduces work and increases data accuracy. The genesis of the donor journey is receiving a smart landing page link which is encoded with the programme ID as shown below:

If you scan the QR code you will land on the donation page and you can start donating (This is a demo site). When the donation is completed using Stripe Payment solution, the system will perform the following steps:

  1. Capture the donor’s details — using Singpass to fill details is also possible
  2. Receive the payment
  3. Send the donor payment acknowledgement and tax receipt (if tax deductibility is selected)
  4. Perform automatic reconciliation — only with Stripe
  5. Submit the donation record for IRAS verification before submission — we are listed as one of IRAS approved vendor for the integration

Steps 1 to 5 is fully automated but step 4 is only possible with Stripe payment solution. The system will also tag the donation record using the smart link to the fundraising programme that resonated with the donor. This solution empower the fundraising manager with insightful reports knowing which programmes is most effective and for which audience. It is an optimal digital marketing solution every charity should have. Fundraising budget is tight but equipped with insightful reports, fundraising manager can more effectively raise funds with tighter budgets.

Donor Portal

For the bigger charities, it is strategically more advantageous to have your own donor portal to improve brand awareness and to effect better communications. Using third-party fundraising platforms should be used as an alternative platform for the extra coverage without facing brand dilution. Building long term donor relationships who resonate with your mission is crucial to maintaining a pool of loyal donors providing consistent support. Building a community of likeminded donors who can gather to create a force to drive the mission with momentum.
